Booking and Cancellation Policy

1. Booking Confirmation

Once you book a service with Certificates4UK Ltd, you will receive an email confirmation of your appointment.
Please allow 2–4 hours for a follow-up text or email confirming your provisional date and time slot.
A final confirmation message will always be sent before the engineer’s visit.

If your booking is made by phone, text message, or through apps such as WhatsApp, it is the customer’s responsibility to keep a record of the agreed date and time.
We recommend saving the conversation or confirmation message for reference.

If you have not received written confirmation within 24 hours of booking, please get in touch with our team to verify your appointment.


2. Cancellation Policy

We understand that plans can change. However, to ensure fairness to our engineers and manage our schedule efficiently, the following cancellation terms apply:

Call-out charge:

£45.

This charge applies if we attend the property at the agreed appointment time and are unable to gain access, have no access, or have no electricity and gas available to run the inspection.

⏰ Please note:

  • Saturday and Sunday do not count towards the notice period.
  • Cancellations made after these notice windows will automatically incur the relevant call-out or cancellation charge.
  • Repeated cancellations may result in prepayment being required for future bookings.

3. No Show Policy

If our engineer arrives at the property and:

  • No one answers the door, or
  • No one answers phone calls made on arrival,
  • provided the key does not work

A call-out charge will be applied.
This charge covers travel, time, and scheduling costs incurred by our team. We will always provide photographs of the visit as evidence that our engineer attended the property.


4. Building Access (Flats & Shared Properties)

For properties located within flats, apartment blocks, or gated buildings with restricted access:

  • It is the landlord’s or property owner’s responsibility to ensure access is available at the time of appointment.
  • Our engineers are not responsible for gaining entry to buildings with shared or controlled access (e.g., communal doors, keypads, or intercoms).
  • We will not call or disturb other flats or residents to gain entry.
  • The landlord, tenant, or an authorised person must be present or contactable to provide access when we arrive.

If access cannot be gained due to building restrictions or the absence of an authorised person, a call-out charge will apply.

Where possible, our engineer will make a courtesy call around 30 minutes before arrival, provided a valid contact number has been supplied. This helps ensure access to the property and avoids unnecessary call-out charges.


5. Utility Availability

It is the landlord’s or property owner’s responsibility to ensure gas, electricity, and water supplies are available at the property.
If the engineer cannot perform the service because of:

  • Unpaid utility bills,
  • Prepaid gas/electric meters not topped up, or
  • Water/gas being turned off,

A call-out charge will still apply.


6. Rescheduling

If you wish to reschedule your appointment, please contact us as early as possible to avoid charges.
We will always do our best to accommodate a new time that works for you.


7. Emergency Cancellations

If you need to cancel due to unexpected emergencies (e.g., serious illness, bereavement, or access issues beyond your control), please contact us immediately.
We may waive charges at our discretion, provided evidence or valid reasoning is supplied.

Certificate Renewal Responsibility

It is the customer’s responsibility to keep track of when their certificates — including Gas Safe (CP12), EICR, EPC, or boiler service — are due for renewal.
Certificates4UK Ltd does not hold or monitor expiry dates for individual properties or clients.

While we may send a reminder message or email if a service was completed in the previous year, this is provided as a courtesy only.
We cannot guarantee that reminder messages will always be sent or received, as technical issues (such as email errors, system glitches, or spam filters) may occur.

Therefore, Certificates4UK Ltd accepts no responsibility for missed renewals or overdue certificates.
Customers are strongly advised to maintain their own records and set personal reminders to ensure ongoing compliance.


Water Stopcock Requirements

To ensure all plumbing and heating work can be completed safely and without delay, please read the following important terms regarding your property’s main water stopcock.

1. Customer Responsibility

It is the customer’s responsibility to make sure there is a working and accessible stopcock to isolate the mains water before we begin any work.

If you are unsure where your stopcock is located, please check before the engineer arrives.

2. Fees for Locating the Stopcock

If the stopcock cannot be found upon arrival:

• For small jobs (e.g., replacing a tap):

If it takes more than 5 minutes to locate the stopcock, a £40 search fee will apply.

• For larger jobs (e.g., boiler installation):

We will search for up to 20 minutes free of charge.

After 20 minutes, a £40 search fee will apply.

3. Non-Working Stopcock

If the stopcock is found but not working (cannot shut off the water):

• The job may need to be cancelled or rescheduled.

• A 50% cancellation fee will be charged to cover the engineer’s time, as the issue is outside our control and prevents the work from being carried out safely.

4. Stopcock Replacement (If Notified in Advance)

If you already know that your internal stopcock is faulty, please let us know before the appointment.

We can provide a quotation to replace the stopcock using pipe-freezing equipment, where required.

Please note:

Pipe-freezing equipment is not carried to every job and is only available if the work has been pre-booked for this purpose.

5. Customer Recommendation

To avoid delays, additional charges, or cancellations, we strongly recommend that you:

✔ Locate your stopcock in advance

✔ Ensure it can fully shut off the mains water

✔ Inform us beforehand if it is faulty or inaccessible

Pricing and Payment

Fixed Prices: All our prices are fixed, with no hidden costs. Prices are available on our website.

Additional Charges:

Extra rooms: Additional charges apply for extra bathrooms, toilets, utility rooms, and dining rooms separate from the kitchen

Parking and congestion charges are not included in the prices.

Weekdays (8 am- 5 pm): As shown.
Weekdays (6 pm-8 pm): An extra 50% applies.
Weekdays (8 pm- 10 pmm): An extra 200% applies.
Saturdays and Bank Holidays: An extra 25% applies

North or East postal codes: £5 extra for gas safety inspection. Additional charges may apply depending on the distance from SW15 (to be confirmed before the visit).

Certificate Amendments

£15 fee applies where changes are required due to incorrect or missing customer details.

Safety and Compliance

All engineers are Gas Safe registered and fully insured, following the Gas Industry Unsafe Situations Procedure when they notice any problems.

As a landlord, it is your duty to ensure that all electrical systems remain safe for your family or tenants.

Respect Our Engineers: We do not tolerate any aggression towards our engineers. They are permitted to leave the property if they feel threatened or encounter aggressive behavior. or

We are not a handyman service. If access is required to address a water leak, gas leak, or any other issue during our service, we are not responsible for repairing any resultant damage. It is the landlord’s or property owner’s responsibility to fix any damage post-service and cover the associated costs. Our role is to provide the necessary repairs to ensure safety.

Payment and Legal Action

Timely payment for services rendered is crucial for maintaining a smooth operation and ensuring quality service delivery. All payments are due upon completion of the service unless otherwise agreed upon in writing. If payment is not received within the agreed timeframe, we reserve the right to pursue legal action to recover the owed amount.

In the event of non-payment, we will issue a reminder notice. If the outstanding balance remains unpaid after the reminder, we will proceed with further action, which may include engaging a collections agency or initiating court proceedings. This could result in additional costs to you, including legal fees and interest on the overdue amount.

We aim to resolve any payment issues amicably and encourage open communication to address any concerns promptly. However, failure to fulfill payment obligations will necessitate taking appropriate measures to protect our business interests and ensure fair compensation for services provided.
